Accommodations

Each vacation rental property is individually and privately owned. The décor is suited to each owner’s taste. Items will vary from unit to unit, but the necessities will always be furnished for your vacationing pleasure. If you are renting more than one unit, do not mix the contents or rearrange any furniture. Complaints regarding your accommodations must be submitted to Starheel Properties in writing before your departure date for consideration by the owner.

If wifi is desired, make sure that the vacation rental property you have booked has wifi service included.

Many of the condos have a locked closet for the owner’s personal use. Please do not tamper with or try to gain entry into an owner’s closet. Any damage is subject to charges against your security deposit or credit card.

You will find a copy of the rules and regulations within the unit. Please review them the day of your arrival.

A comment card is supplied in the unit. To help with providing the best possible service to our guests, please take a moment to complete the card. You may leave it in the unit or drop it in the mail.

Note that all vacation rentals are non-smoking. All condos are also pet free unless specifically noted as pet friendly.

Reservations/Payments

Reservations made on-line will automatically be charged in full to the credit card. A three percent (3%) credit card service fee will be included in the total charges. Once your reservation is made, a vacation rental agreement and confirmation will be mailed to you. All agreements must be signed and a completed copy, along with your minimum rent deposit of 50% of your rent plus a Reservation Fee of $45.00 and Accidental Damage Protection Fee of $49.00 must be received at Starheel Properties within 10 (ten) days. The Reservation Fee is non-refundable. If the agreement and funds are not received in the time allotted, your reservation(s) will automatically be canceled. The advance rent deposit is not your security deposit. Forms of payment accepted:

  • Cashier’s check
  • Personal check
  • Money order
  • Discover, MasterCard or Visa,

If a personal check is returned for Non-Sufficient Funds or Account Closed, your reservation(s) will automatically be canceled. Starheel Properties will not re-deposit returned checks.

The balance of your reservation is due and payable 30 (thirty) days prior to arrival date.

Any reservation made within 30 days of arrival must be paid in full by credit card. Payment by cashier’s check or money order may be permitted if sent by an overnight delivery service.

Security Deposit

A refundable security deposit may not be required if our Accidental Damage Protection Plan is purchased. This will cover accidental damages up to $1,500.00 at a cost of $49.00 plus tax. The Accidental Damage Protection Plan covers accidental damages reported to Starheel but does not cover:

  • Lost items
  • Stolen items
  • Excessive cleaning needed
  • Damaged walls, doors, etc.
  • Missing keys or pool passes
  • Any damage caused by negligent or abusive behavior

An itemization of expenses will be given if the security deposit is not refunded in full. The security deposit, if required, is deposited into our bank at PNC Bank in Calabash, NC in a non-interest bearing account.

Accidental Damage

A valid Discover, MasterCard or Visa credit card is also required in case of accidental damage occurrences above your security deposit amount or amounts not covered by our Accidental Damage Protection Plan. Please see the addendum to your vacation rental agreement that must be completed and returned with your agreement. Immediately report any damage incidents to Starheel Properties in order for us to repair or replace, if necessary, as quickly as possible.

Check In/Check Out

Check in time is 4:00 p.m. Our housekeeping division works diligently to make sure all accommodations are clean and ready by 4 p.m. On rare occasions, due to maintenance repairs or extra cleaning time needed, occupancy may be delayed. No refunds or reduction in rent are given for late occupancy. Please do not go to the property prior to check in time. This may delay cleaning and inspection for readiness of occupancy. Early check in may be possible. Please call Starheel Properties for details and/or any associated cost.

Procedures for check in:

  1. Each unit has a private lockbox containing one key. A code will be given for access after receipt of your payment in full and your signed lease agreement for your reservation. At least one other key will be placed inside the unit.
  2. Call Starheel's maintenance/cleaning services at 910-616-8013 for any cleaning issues or emergencies.

Check out time is 10:00 a.m. All properties must be vacated by 10 am on check out day. Guests will be subject to a late check out fee equaling double the daily rent amount for any portion of the day that a guest remains in or on the property and any expenses incurred due to occupying the premises beyond the 10 a.m. deadline on the day of departure.

Procedures for check out:

  1. Place any moved furniture back in its original location.
  2. Set the thermostat at 74 degrees in the summer and 58 degrees in the winter.
  3. Remove all bed linens and place in a pile along with all used bath and kitchen linens. PLEASE DO NOT MAKE BEDS THAT HAVE BEEN USED.
  4. Lock all windows and entry doors.
  5. Leave keys and amenity card in the unit except for one key. Lock the door and put one key back in the lockbox on the door. Change the dials on the lockbox to securely lock it.

Keys

LOST OR MISSING KEYS MAY BE SUBJECT TO AN $85.00 CHARGE TO RE-KEY THE UNIT.

Lost pool passes or key cards are subject to a non-refundable replacement charge of $95.00.

Lock-Out Policy

In the event you are locked out of your unit, you may come to the office to borrow a key. For after business hours, call our emergency number at 910-616-8013. A lock-out fee of $35.00 is expected at the time services are rendered.

Telephone Service

Most units have local telephone service for your convenience. All long distance calls should be put on a credit card or made collect to the person you are calling. Any long distance charges to the unit number will be taken from your security deposit or charged to your credit card on file.

Number of Occupants

Each unit may not exceed the number of occupants on your confirmation with the exception of an infant requiring a crib. Number of occupants is strictly enforced and constitutes a breach of your lease when exceeded. Expedited eviction may be pursued and any associated costs are charged to the guest’s credit card on file.

Pets

No pets are allowed except where a specific property has been reserved that allows pets. If pets of any kind are found, immediate eviction will happen with no refunds. Any associated costs for cleaning or damages will be charged to the guest’s credit card on file.

Pet friendly properties are subject to the rules and regulations of that subdivision concerning the number of and weight of pets. Individual owners decide what kind of pet is permitted in their unit. An Accidental Damage Protection Plan is required for pet-friendly units. The cost is $49.00 plus tax for $1,500.00 worth of coverage. An additional refundable pet fee or security deposit may be required in addition to proof of flea and tick protection.

Mail & Messages

Mail and messages may be received at the Starheel office for pick up. Neither will be delivered except in cases of emergency.

Lost and Found

Any personal items left behind will be brought to the Starheel office. It will be kept for 30 (thirty) days and then donated to a charity organization. Starheel will return any found items, if requested, by C.O.D. with an added service charge of $15.00. We can also give the items to our shipper with your credit card information to have the items shipped to you. Neither Starheel Properties, nor the owner(s) of the unit, are responsible for any personal items left by the guest.

Subletting/Assignments

It is strictly prohibited to sublet or assign units to others.

Right of Entry

Starheel Properties, the owner, or a representative thereof, has the right to enter any dwelling for necessary repairs, inspection, or to show the property for sale during any tenancy. Sufficient notice will try to be given in all cases.

Substitutions or Non-availability

In rare cases, the unit you reserved may become unavailable prior to your arrival. This can be due to extreme issues such as fire or a plumbing issue as well as owner initiated unavailability. Every effort will be made to move you to a similar unit. Upon owner initiated unavailability, a full refund will be given if no other unit is available.

Refund Policies

No refund or reduction in rent will be given due to mechanical failure of any appliance, entertainment device, heating or cooling system, or closures of pools, spas, or hot tubs pertaining to the property or the complex in which it resides. Please report any problems in a timely manner and every effort will be made for repair or replacement.

Refunds or reduction in rent will not be granted concerning errors or misprints in advertising. All pricing, locations, and descriptions are kept as current as possible. Starheel Properties is not responsible for any errors or changes made by the owner.

No refund or reduction in rent will be given due to excessive noise from neighboring occupants or construction in the area.

Early Disbursement of Funds

Any fees collected by Starheel Properties for goods or services may be disbursed by Starheel Properties prior to occupancy.

Taxes

All sales and occupancy taxes are included in the full payment amount of your reservation and will be disbursed by Starheel Properties to their respective government agencies upon termination of the tenancy or breach of the vacation rental agreement. Tax rates may change and guest is responsible for the tax amount at the time of occupancy.

Funds Transfer

Transfer of funds from one rental unit to another is not permitted. Only extreme exceptions apply such as fire, hurricane, or a legal requirement.

Rules and Regulations

Each unit is supplied with rules and regulations pertaining to the unit and the complex in which it resides. For all condominiums, no grills are allowed, gas or electric. Some communities provide outside charcoal grills for your use. It is the responsibility of each guest to follow all rules and regulations. Violations may constitute expedited eviction procedures.

All guests are to keep the property in clean and safe condition and follow all laws. Properly dispose of trash, keep toys or any other items free from plumbing, and prevent any damage from occurring.

Expedited Eviction

Expedited eviction will be pursued for breach of lease, non-payment of rent, or possession of property beyond departure date according to Article 3, Chapter 42 of the North Carolina General Statutes.

Disclosures

Starheel Properties, Inc. is employed by and represents the owner through a signed North Carolina Property Management Agreement for Vacation Rentals. Starheel represents the owner in all cases. Each rental is subject to the provisions of this agreement.

Starheel Properties, Inc. may receive compensation for goods and services that may be provided including, but not limited to, insurance, linens, or phone services.

Starheel Properties, Inc. may deposit advance rent deposits into an interest-bearing account where the interest is paid to Starheel Properties, Inc.

Insurance

I. Starheel Properties, Inc. offers an Accidental Damage Protection Plan. This plan covers up to $1,500 of accidental damage for the duration of your stay. A valid Discover, Master Card or Visa credit card is also required in case of accidental damage occurrences above this amount covered by the Accidental Damage Protection Plan or damages not deemed accidental under this plan.

IMMEDIATELY REPORT ANY DAMAGE INCIDENTS TO STARHEEL PROPERTIES IN ORDER FOR US TO REPAIR OR REPLACE, IF NECESSARY, AS QUICKLY AS POSSIBLE. ALL UNITS ARE INSPECTED AFTER DEPARTURE.

II. Trip Insurance can be purchased directly through any travel insurance company. This insurance includes coverage for cancellation or delay of your trip due to weather, sickness, death and much more.

Cancellation Policy

Notification of cancellation of a confirmed reservation must be submitted in writing for your protection. A full refund less the cancellation fee of $100.00 will be made if the unit is re-rented for the full time period of your canceled reservation. Also the Reservation fee is non-refundable. If the property is not re-rented for the full time period, all money paid will be forfeited, except any security deposit money that was received. Trip Cancellation or Interruption insurance is available and recommended.

Changing a Reservation

Changing a reservation is the same as canceling a reservation and our Cancellation Policy will apply. Changing a reservation will cause your reservation process to begin anew.

What to Bring

Each unit is sufficiently furnished with bed linens, towels, washcloths, pots, pans, and basic necessities, but you may want to bring your favorite pot. Hygiene items are not furnished so please pack your soap, toothbrush, deodorant, medicine, etc. A starter kit of toilet paper, paper towels and soaps is provided.
